Aranwa Hotels Resorts & Spas is committed to protect your privacy. This privacy policy applies to our websites (www.aranwahotels.com / www.loyaltypass.com). It also governs our data collection, processing and use practices. It also describes your choices regarding use, access and correction of your personal information. If you do not agree with the data practices described in this privacy policy, we recommend that you do not use the websites or the subscription service. In compliance with the provisions of Law No. 29733, Law on Protection of Personal Data and its Regulations, we inform you that your personal data will be incorporated and will be treated exclusively, confidentially and indefinitely unless you exercise your rights, in the databases of the Aranwa Hotels chain, in order to provide the accommodation service and specifically those which have the corresponding protection measures in order to provide and offer our services.

This privacy policy is updated periodically. Any changes to the privacy policy will be posted on this page and we will send you a detailed notice by email if there are significant changes.

Even though we will notify you of any significant changes to this privacy policy, we encourage you to review this privacy policy periodically. Furthermore, previous versions of this privacy policy will be kept on file for your review.

Our privacy policy focuses on data we collect:

  • Through the websites that we operate and from which you access this privacy policy, (collectively, the “Websites”).
  • Through software applications that we make available to you for use on computers or mobile devices (the “Applications”).
  • Through Social Media Sites in which we participate, from which you access this Privacy Statement (collectively, our “Social Media Sites”).
  • Through HTML e-mails that we send with a link to this Privacy Policy and through your communication with us when you visit us or stay at one of our hotels, or through other offline interactions.

We refer to our “Websites”, “Applications” and “Social Media Sites” collectively as the “Online Services”; and these together with the offline channels, as the “Services”. By using the “Services”, you agree to the terms and conditions of this privacy policy.

1. About the data we collect

“Personal Information” is data that individually identifies you or relates to an identifiable person. At the guest or customer touchpoints, we collect “Personal Information” in accordance with the law, such as:

  • Gender
  • Mailing address.
  • Telephone number
  • E-mail address
  • Credit and debit card number or other payment information
  • Financial information in certain circumstances
  • Date and place of birth
  • Nationality, passport, visa or other identifying information issued by government authorities

In even more special circumstances, we can also collect:

  • Family and companion data, such as children's names and ages.
  • Images, video and audio data through: (a) security cameras located in public areas, such as hallways and lobbies of our hotels.
  • Guest preferences and personalized data such as your interests, activities, hobbies, food and beverage choices, services and amenities that you recommend to us or that we learn about from your visit.
  • If you provide us with any “Personal Information” of others regarding the Services (e.g., if you make a reservation for someone else), you declare that you have the authority to do so and to allow us to use such information in accordance with this Privacy Policy.

2. About how we collect personal information

We collect “Personal Information” in several ways:

  • “Online Services”. We collect “Personal Information” when you make a reservation, purchase services from our “Websites” or “Applications”, communicate or connect with us, post information on social media, register to receive information, participate in a survey, contest or promotion or even fill out information request forms on various social platforms (e.g., Facebook, LinkedIn, Instagram, among others).
  • Hotel visits and offline interactions. We collect “Personal Information” when you visit our hotels or use services and points of sale at them, such as restaurants, concierge/maintenance service, and laundry service. We also collect “Personal Information” when you attend promotional events we organize or participate in, or when you provide your “Personal Information” to organize an event.
  • Customer Service Centers. We collect “Personal Information” when you make a reservation by phone or contact us by email.
  • Strategic Business Partners. We collect “Personal Information” from companies that we partner with to provide you with goods, services and offers based on your experiences at our hotel or that we believe would be of interest to you (“Strategic Business Partners”).
  • Other Sources. We collect “Personal Information” from other sources, such as public databases, joint marketing partners and other third parties.
  • Internet-connected devices. We collect “Personal Information” from Internet-connected devices available on our property.
  • Physical location and location-based mobile services. We collect “Personal Information” if you download one of our “Applications” or participate in certain programs. We may collect the physical location of your mobile device using, for example, satellite, cell phone tower, Wi-Fi signals, and other technologies. We will collect this information if you agree to receive offers from us and enable the location feature on your mobile device through the “Application” or other program (during your first login or thereafter). If you chose to participate in certain programs, the “Application” or other program will continue to collect your location data when you are near a participating hotel until you log out or close the application. In other words, the “Application” or other program will collect this information if it is active in the background but not if you use the settings on your phone or other device to disable the location feature of the hotel's “Application”.

3. About the use of personal information

As detailed below, we use “Personal Information” to provide “Services” to you, develop new offerings and protect Aranwa Hotels Resorts & Spas and their guests. In some cases, we will ask you to provide “Personal Information” or other data directly to us. In the event you do not provide the data we request, or prohibit us from collecting such data, we will not be able to provide the requested “Services”.

We use “Personal Information” and other data for our legitimate business interests, including the following:

Provide the “Services” you request. We use the “Personal Information” and other data to provide you with the services you request, which include:

  • Providing the services you request, such as making reservations and sending pre-arrival confirmations or messages. Assisting you with meetings, events and celebrations.
  • Providing you with more information about the area and the hotel.
  • To complete your reservation and stay. For example, to process your payment, ensure your room is available and provide you with related customer services.
  • Support our e-receipt program. When you provide us with an e-mail address when you make a reservation, we use that address to send you a copy of your invoice. If you make a reservation for someone else using your e-mail address, that person's invoice will also be sent to you by the same means. You may indicate to the front desk that you do not wish to receive your invoice by e-mail, but rather to receive it in hard copy. We will use “Personal Information” and other data to manage our contractual relationship with you because we have a legitimate interest in doing so or to comply with any legal obligation.
  • To customize the “Services” according to your personal preferences. We use “Personal Information” and other data to personalize the Services and enhance your experience when you contact our call center, visit one of our hotels or use the “Online Services” to:
    • Personalize your experience according to your personal preferences.
    • Communicate to you offers tailored to your personal preferences.
  • Communicate with you about goods and services according to your personal preferences. We use “Personal Information” and other data to:
    • Send you marketing communications, promotions, periodic surveys of market research satisfaction or quality control.
  • Loyalty programs. We use “Personal Information” and other information to:
    • Offer and manage your participation in our loyalty program, “Loyalty Pass”.
    • Send you offers, promotions, and information about your account activities and status.
    • Evaluate your benefits.
    • Manage points earned through co-branded credit cards.
    • Manage your choices about how you earn and use your points.
  • Sweepstakes, activities, events and promotions. We use “Personal Information” and other data to allow you to participate in sweepstakes, contests and other promotions, and to manage those activities. Some of these activities have additional rules, which may contain additional information about how we use and disclose your “Personal Information”. We suggest you to read such rules very carefully.
  • Commercial purposes. We use “Personal Information” and other data for data analysis, audits, security, fraud control and prevention (including using closed-circuit television, access cards and other security systems), development of new products, improvements or changes to our “Services”, identification of usage trends, determination of the effectiveness of our promotional campaigns, operation and expansion of our business activities.

4. About the disclosure of your personal information

We will use and disclose “Personal Information” as we believe necessary or advisable:

If we do so, we will treat the information as “Personal Information” whenever it is combined.
